Enrolment Process
1. As far as possible all applications and course enquiries will be dealt with in a timely fashion.
2. All correctly completed applications forms that do not require closer evaluation or additional information will be
“turned-around” within a period of 5 days.
3. A Student Contract (Acceptance Agreement) will be signed before fees are handled and the student fully enrolled.
4. Where additional information or evaluation is required it will be requested and/or evaluated within a 5 period.
5. Students will be formally enrolled and a student number allocated on the student induction day (Enrollment Process
Flowchart - Step 1)
6. A formal induction of students will occur on the week preceding their commencement of classes (Orientation - ACOT
Web site).
7. A diagram of the Student Enrolment Process which outlines the process and timelines to be followed will be
published and evaluated on a yearly basis (Induction Process Flowchart).
8. Student applications from overseas jurisdictions will undergo a process to determine the status of academic
qualifications. It is noted that if the student has obtained a student visa then there has a measure of validating the
authenticity of the qualification through the process of gaining the visa.
9. Other applications will be managed through the attached process.
10. Where students apply with qualifications which fall outside of the mainstream awards issued by a jurisdictions they
may be asked to validate the qualification (through) AEI-NOOSR at their cost. (Top)
Conditions of Enrolment - International Students
The College will enroll students, in accordance with the following conditions.
1. By accepting a student place, a student enters into a contract with the College for the length of the program in the
student’s electronic Confirmation of Enrolment (CoE).
2. The policy of the College is to set fees at, or close to, the minimum level set annually by the Australian Government.
Fees are not expected to increase by more than ten percent in any one year.
3. All fees, charges and accounts are payable in advance, at times to be determined by the College, from time to time.
Unless the College determines otherwise, students will not be permitted to commence any course, or any study period,
until such fees and charges are fully paid.
4. Australian College of Trade (ACOT) reserves the right to cancel or postpone any courses prior to their scheduled
commencement dates, should it be necessary. In such circumstances, if the course is postponed by more than four
weeks, and if a student is unable to enroll in a similar course at ACOT all fees will be refunded. Refund of the fees will
only be granted in accordance with the refund policy set out below
Full Fee Refund
The Australian College of Trade Pty Ltd will make a full refund of course fees paid in the following circumstances:
✪ Application for a student visa is unsuccessful. In this case the Australian College of Trade Pty Ltd, reserves the
right to retain application fee of A$250.
✪ A request for refund in writing and proof of visa refusal from the Australian Government must be sent to the
Australian College of Trade Pty Ltd upon visa refusal. In this case full refund of course tuition fees will be made
within 28 days.
✪ If for any reason the Australian College of Trade Pty Ltd is unable to start delivery of the course on the agreed
starting date or ceases to deliver the course before it is completed. In this case a full refund of course tuition fees
paid will be made within 14 days of the specified starting date or from the time the course ceases to be delivered
in accordance with the refund requirements of the ESOS Act 2000.
Partial Fee Refund
The Australian College of Trade Pty Ltd will make a partial refund of tuition fees in the following circumstances:
If written notice of withdrawal is received from a candidate at least 28 days prior to the initial course
commencement, 50% of the tuition fees are refundable, less application fee of A$250
No Fee Refund
If written notice of withdrawal is received from a candidate less than 28 days prior to the initial course
commencement or at any time after course commencement, no refund will be applicable.
Refunds for any monies received by the Australian College of Trade Pty Ltd on behalf of the student for services
other than tuition fees must be requested from the company delivering the service and will be subject to the
respective companies refund policies.
In the event that an extension to your student visa is not granted and the course has commenced a refund will not
be issued. You are advised not to enrol if you believe your visa will not be extended.
In the event that the student seeks and is granted approval by the Australian College of Trade Pty Ltd to transfer to
another provider prior to completion of six months study of the principal course, no refund of any course money
paid in advance will be granted.
In the event that a student’s enrolment is cancelled because of infringement with the Australian College of Trade
Pty Ltd’s disciplinary Policy or breach of student visa conditions, no refund of any course money paid in advance
5. In accepting an enrolment with the College, a student agrees to abide by the College’s Code of Behaviour.
6. Students suspended from the College and/or course, will forfeit all fees.
7. Students must have their OSHC current at all times during their entire stay in Australia. Students are required to
provide the College with a copy of their Medibank health fund card (or other health fund if not a Medibank member). At
least 15 days before the expiry of their Medibank health fund card, students are requested to renew their health
insurance, either by payment to the College, or directly, at the nearest Medibank office.
8. Students must keep the College and the Immigration Department informed immediately they change their residential
and postal address, and provide their current telephone number.
9. Students who are absent from the College are still required to pay the fees due. If students are granted deferment
from the course that they are currently studying for a period of more than 28 days, they are not liable to pay the tuition
fees for the deferment period. Important note: Students who are granted deferment for any period should be aware that
the consequences of such deferment will, in most cases, result in lengthening the time taken to complete the course and
may affect their student visa.
10. Full tuition fees are to be paid as agreed and in the event of failure to do so, ACOT reserves the right to withhold
academic results, certificates, services and materials. This condition also applies where a student submits an
application to withdraw from a course at ACOT after the official commencement of a study period as the tuition fees for
that study period are due and payable in advance.
11. The College may also take further action to recover the amount of tuition fees that continue to remain outstanding by
placing the matter in the hands of a debt collection agency.
12. Where a student is absent from classes and the absence is deemed to be due to illness, the student is required to
produce a medical certificate to the College’s Administration and Finance Manager within two working days. Failure to
do this may result in further charges being made for any additional assessment that may be required to achieve
competency in the units/modules affected by such absences. Further charges will be applied for any absences not
supported by medical certificates and which result in additional assessments being required to achieve competency.
Currently, the applicable charge is A$200 per unit/module for which additional assessment is required. Note: all the
above charges are subject to change without notice and students are strongly advised to regularly consult the College’s
web site for the most current information.
13. A student must maintain satisfactory academic progress throughout their course. Please note that the College is
required to report students to the Department of Immigration and Border Protection (DIBP) where they fail to achieve
competency in 50 percent or more of the units they undertake in two successive study periods. (A study period is
defined at ACOT as twenty two weeks of classes)
14. The College reserves the right to cancel, or defer, any course, and to alter timetables and class locations without
notice. If the College cancels, terminates, or defers any course, and is unable to offer a suitable alternative course, fees
will be refunded, or transferred to the new institution.
15. The College reserves the right in every case, at its discretion, and for any reason, to alter, or not to offer, any course
before its scheduled commencement.
16. Any request by a student must be made in writing and signed and dated by the student. Verbal requests will not be
accepted.
17. International Students must be over the age of 18 years at the time of enrolment. (Top)
Academic Honesty - College Policy
1. A student shall not engage in any activity that involves attempting to receive a grade by means other than honest
effort, for example:
2. A student shall not, knowingly, procure, provide, or accept, any materials that contain questions, or answers, to any
examination, or assignment, to be given at a subsequent time.
3. A student shall not complete, in part, or in total, any examination, or assignment for another person.
4. A student shall not, knowingly, allow any examination, or assignment, to be completed, in part, or in total, for himself,
or herself, by another person.
5. A student shall not plagiarise, or copy, the work of another person and submit it as his, or her, own work.
6. A student shall not employ unauthorized aids when undertaking course work.
7. A student shall not, without proper authorization, alter graded class assignments, or examinations, and then re-submit
them for re-grading.
8. A student shall not provide their assignments, in part, or in total, to any other student in current, or future classes of the
course. A student shall not procure, or accept, assignments from current, or prior, classes of the course.
9. Collaborating with other students to develop, complete, or correct, course work, is limited to activities explicitly
authorized by the instructor. Use of other students’ course work, in part, or in total, to develop, complete, or correct,
course work is unauthorized.
10. Each student is responsible for knowing and abiding by the College’s policies on academic and student conduct.
Any student found to be in breach of the College’s Academic Dishonesty, or Student Conduct policies will be given a
grade of “NYC” in the course, and will be reported to the Department of Immigration and Border Protection (DIBP) . A
student Committing acts that violate Student Conduct policies that result in course disruption are liable for suspension,
or dismissal, from the College. (Top)
Course Credit and Recognition of Prior Learning (RPL) Procedure
1. Students seeking recognition of prior learning/course credit will be provided with a copy of the policy and a Credit
Transfer/RPL application form. The application form is designed to assist applicants in the process of gathering
evidence and demonstrating competence.
2. An appropriately skilled trainer/assessor will assess the applicant’s current competence against the performance
criteria or learning outcomes of the unit or module for which skill recognition is being sought.
3. An assessment report will be provided, including, where current competence is not established. In the latter case a
recommended skills acquisition solution will be provided.
4. If the applicant accepts the outcomes of the Credit Transfer/RPL assessment then a record of the outcomes is
signed by both the trainer/assessor and the student and placed on the student’s file.
5. If the applicant does not accept the outcome of the RPL/course credit assessment they have the right to appeal
against the assessment decision and to have their assessment reviewed.
6. All Credt Transfer/RPL appeals must be in writing and lodged with the Director of Studies within ten (10) working
days of the notification of Credt Transfer/RPL assessment results being sent to the applicant. Any appeal on process
shall be determined by the Director of Studies or other nominated appropriately qualified assessor. Only one appeal
against an Credt Transfer/RPL assessment outcome is allowed. The Director of Studies will determine this appeal. If an
appeal on outcome is allowed
✪ The Director of Studies will inform the applicant of the reasons and provide advice as to what additional
information, if any, is required and/or what additional tasks, if any, need to be undertaken; and
✪ The Director of Studies will constitute and convene a newCredt Transfer/RPL panel
7. The original Credt Transfer/RPL application form, together with any supporting materials and documents, assessor
notes, records of interviews, records of client outcomes, letters of advice, logs or agreements are to be retained in a

8. For International students who are granted Credt Transfer/RPL prior to the issue of a visa, the net course duration (as
reduced by Credt Transfer/RPL) will be indicated on the eCoE issued for the student

reduced by Credt Transfer/RPL) will be reported via PRISMS.
Release of information to third parties and privacy
The information provided to the College by students will be treated with the strictest of confidence, and will only be
released to third parties where there is a legal and/or regulatory requirement to do so. The College is obligated, in such
circumstances, to provide student information to government agencies, either under a legal requirement, or for such
purposes as the collection of statistical and survey data. Students are made aware of this in the Acceptance Agreement
which they are required to sign. (Top)
